These booking terms and conditions constitute a legal agreement between customers and Aarohi Holiday Pvt Ltd (the Travel Services Provider) regarding trip bookings. By booking with Aarohi Holiday Pvt Ltd, customers acknowledge and accept all terms and conditions outlined on this page.
Booking Confirmation
Your trip bookings are confirmed only when you receive a booking confirmation email from Aarohi Holiday Pvt Ltd upon receiving the deposit payment of your trip.
Payments Option
Aarohi Holiday Pvt Ltd has two forms of payment options: Deposit payment & Final payment.
Deposit Payment: (30% Deposit Payment)
Aarohi Holiday Pvt Ltd requires 30% deposit payment while booking a trip with us. Deposit payments are non-refundable and non-transferable. Once deposit payment is received, then only your trip booking is confirmed. For Bhutan and Tibet Tour, 50% deposit payment is necessary to confirm your booking with us. Deposit payment could be paid by bank wire transfer or pay online via visa card, master card, Amex card, or credit card.
Final Payment/ Balance Payment: (70% Balance Payment)
Final payment is payable when you will reach Kathmandu for Nepal trips. By the first day of your trip, you must pay the final payment of your trip to Aarohi Holiday Pvt Ltd. Final payment could easily be paid by bank wire transfer or pay online via visa card, master card, Amex card or credit card. However, if using a card for final payment, card surcharge fees of 3.5% extra will be applied. For Bhutan & Tibet trips, final payment should be paid 3 weeks prior to your trip departure date or as directed by the company at the time of your booking a Tibet & Bhutan trip.

Trip Prices
The trip prices listed for Aarohi Holiday Pvt Ltd packages are per person and based on double occupancy, unless stated otherwise. Prices are subject to change and are quoted in US Dollars. Please note that trip prices cover land arrangements only; you are responsible for booking your international flights to and from Nepal.
Trip Cancellation & Refund Policy: (Nepal Trip)
In our regular packages, if you need to cancel your trip at the last minute due to an emergency or other personal reasons, you will forfeit the 30% deposit paid to us. If you have already made the full payment for your trip, 30% of the total cost will be considered a non-refundable cancellation fee. However, the remaining 70% will be retained as a credit for future trips with us. Please note that if a trip is canceled last minute, the balance payment may not be refundable; we recommend checking with the company for specifics. Additionally, you may use the remaining credit for a trip booked by your family or friends with us.
Trip Cancellation: (Bhutan & Tibet Trip)
In the event of a last-minute cancellation of a Bhutan or Tibet trip due to an emergency or any other reason, you will forfeit 50% to 70% of your deposit payment. If the trip is canceled 15 days prior to your departure date, you will incur the full trip cost as a cancellation fee.
Trip Canceled By Company
In the event of natural disasters, strikes, wars, riots, government intervention, adverse weather conditions, or any other circumstances beyond our control, the company reserves the right to cancel your booked trip. In such cases, the company will refund the trip cost; however, cancellation fees for flights, permits, or other issued documents will still apply and are non-refundable. Additionally, you will have the option to choose an alternative trip of equal value.
Changes on Itinerary & Change of Packages
Once you have booked a trip, if you wish to change the itinerary or switch to a different trip, please send us an email to verify your request. We will gladly amend your itinerary for the same year. However, if you change to a different destination, additional trip change costs may apply. We will confirm any fees based on the specific changes you request.
Trip Amendment
If you wish to amend your trip within 15 days of your departure date, an amendment fee of US$100 per person will apply. Please note that last-minute trip amendments for Bhutan and Tibet are generally not available.
Incomplete Trip
If you are unable to complete your trip once it has started or choose to shorten it for any personal reasons, we are not liable for any refunds for unused trip services.
Children in a Trip
Travelers under the age of 16 must be accompanied by a family member or a relative when participating in our trips.
Travel Insurance & Vaccination
You are required to have an appropriate travel insurance policy when traveling on any of our tours. Your travel insurance should cover medical expenses, emergency air ambulance, helicopter evacuation, and trip cancellation. Please ensure you carry proof of your travel insurance with you during the trip.
Vaccinations for Covid-19, Hepatitis A, Hepatitis B, Japanese Encephalitis, Malaria, Rabies, Typhoid, and Yellow Fever are highly recommended for travel to Nepal, Tibet, and Bhutan.
Passport & Visa Information
You must have a valid passport and obtain the appropriate visas when traveling on trips organized by Aarohi Holiday Pvt Ltd to Nepal, Tibet, and Bhutan. For a Nepal visa, you can acquire it upon arrival in Kathmandu or obtain it in advance from a Nepalese embassy or consulate. If you book a trip to Bhutan with us, obtaining the Bhutan visa will be our responsibility. For Tibet tours departing from Nepal, we will issue your Chinese and Tibet visas. However, if you are joining our Tibet tour from mainland China, securing a Chinese visa will be your responsibility.
Your passport must be valid for at least 6 months beyond your trip dates.
Health & Medical Conditions
You should be in good health and physically and mentally fit when planning a trip with Aarohi Holiday Pvt Ltd. If you have any pre-existing medical conditions or disabilities, please inform us prior to booking your trip. We reserve the right to decline your participation if your medical condition is severely compromised or if the trip is not suitable for your disability. For individuals with pre-existing conditions or disabilities, we may request a doctor’s advice and a certificate certifying your fitness to travel with us.
Risks Involved
Your safety is our top priority while traveling on any of our trips. However, it is important to understand that adventure travel in the mountainous regions of Nepal, Tibet, and Bhutan—particularly trekking and mountaineering—carries a high risk of injury, accidents, and health issues due to rough terrain and altitude. Aarohi Holiday Pvt Ltd will not be liable for any injuries, accidents, illnesses, health conditions, loss or damage to your belongings, or any other hardships experienced during your trip with us.

The terms and conditions may vary based on the specific nature of the trips you are undertaking.
